Enabling Vendor Invites to Client Portal
If you want your escrow, mortgage, lender, attorney, and title vendors to start participating in Client Portal, an admin needs to enable vendor invites. Vendor invites are important because they allow your vendors to get a username and password so they can log into Client Portal.
To enable vendor invites, an admin or TC needs to do the following:
What can I expect once I enable vendor invites?
What can I expect once I enable vendor invites?
After enabling vendor invites, the "Allow Platform Access" checkbox for new and existing vendors will automatically get checked (enabled) when...
vendors are marked as "Partner" (see the Partner checkbox near the top of the screenshot below)
OR vendors are used on 5 or more transactions
When the "Allow Platform Access" checkbox is checked (see screenshot below), an email invite will be sent to the vendor after they are added to a transaction.
A new column is added to the Admin > Vendors screen: Allow Platform Access. If the column shows "True" for a vendor, they can receive invites to Client Portal. If the column shows "False," the vendor can't access Client Portal.
Admins can manually resend the invite email to a vendor if they don't receive it. For more information about this, check out the section in this article called Manually Resending Vendor Invites.
Disabling a Specific Vendor's Invites
An admin or TC goes to Admin > Vendors.
In-line with a vendor, click the Edit button. This opens the Update Vendor screen.
Scroll to the bottom and uncheck the Allow Platform Access checkbox.
Click Update.
Triggering Vendor Invites
You can trigger a vendor invite email by adding the vendor to a transaction. (The invite will only be sent if invites are enabled for the vendor.) To add a vendor to a transaction, follow these steps:
1. Go to Transactions > Transactions.
2. Click in-line with a transaction to open it.
3. In the menu on the left, there's a list of forms. Click on a form that has any of the following fields:
Mortgage Company
Title Company
Escrow Company
Attorney
Lender
📖 Note
If you're an admin who needs help adding fields to a form, check out this article in our Knowledge Base.
4. Go to the vendor field, and select a vendor from the field.
5. Scroll down to the bottom of the form and click Update.
ℹ️ Note
As soon as you click Update, an email will be sent to the vendor notifying them that they've been added to a transaction. This email also contains an enrollment link that vendors can use to generate a username and password.
Manually Resending Vendor Invites
After an admin enables vendor invites to Client Portal, invite emails will be sent out the next time a user adds an escrow, mortgage, lender, attorney, or title vendor to a transaction. If the vendor doesn’t get the email, you can manually resend the email. To manually resend a vendor invite, do the following:
1. Go to Admin > Vendors.
2. In-line with a vendor, click the Send Platform Invite button.
ℹ️ Note
If you don't see the button, the vendor likely is not a vendor type that can access Client Portal. Only the following vendor types can currently access Client Portal:
escrow
mortgage
lender
attorney
title
