This article explains how to use the Transaction Stages and Statuses Boards to track and manage transactions from start to finish. You’ll learn how to customize Stages, Tags, and Transaction Card fields, as well as how to use filters to quickly find and organize transactions.

Topics in this article:

Transaction Stages Board

The Transaction Stages Board lets you build custom swim lanes to manage transactions from Pending to Closed. You can drag and drop transactions into new Stages as they progress. Clicking a transaction card gives you quick access to details, Comments, Tasks, or the full transaction.

To get started, you’ll want to make sure your Stages, Tags, and key dates are set up correctly.

Customizing Transaction Stages

By default, five sample Stages are provided to help you move transactions from Pending to Closed (or even pre-contract or post-closing). If these fit your workflow, you can use them as-is. Otherwise, feel free to edit, remove, or add new Stages. Once created, you can reorder them to match your process and update their colors.

Creating New Transaction Stages

To create custom Transaction Stages, follow these steps:

  1. Click the Add New button in the upper, right hand corner of the page.

  2. A new Stage will appear at the top of the list. Update the name and color as needed.

Editing Existing Transaction Stages

  1. Edit the Stage Name by clicking into the box in the Stage Name column.

  2. Edit the Stage color by clicking the color box in the Color column.

Reordering Transaction Stages

Drag and drop Stages into the preferred order, or use the numeric order fields.

Customizing Transaction Tags

Tags offer another way to track important details within a transaction. For example, if you're still waiting for the team to get paid, you might use a tag like “Waiting on Payment.”

To create and edit Transaction Tags, navigate to Admin > Tasks > Transaction Tags.

For additional guidance on utilizing Transaction Tags, refer to this KB article. 📙

Filters & Features

Use filters to narrow down the transactions displayed:

  • Scope: Choose to view your team as a whole, Groups or individual team members.

  • Status: Toggle between Showing, Hidden, or All transactions.

  • Filter By Type: Display only Buyers or Sellers.

  • Search Keyword: Find a transaction by client name, email, property address, etc.

More filtering options are available by clicking the Filter button.

Transaction Statuses Board

The Transaction Statuses Board lets you easily track and manage transactions as they move from Pipeline to Closed. While the Statuses themselves cannot be customized, the board layout is fully configurable.

You can drag and drop transactions into new Statuses as they progress. Clicking a transaction card provides quick access to details, Comments, Tasks, and the full transaction record.
