Sisu provides the ability to have custom automated emails sent to members of your team, vendors and your clients! Learn how to create these below.

Creating Notification Templates

Notification Templates are the content of your emails. These templates can pull in data directly from your transaction forms in Sisu! Here's how to create them:

  1. Navigate to Admin > Tasks > Task Settings > Task Notifications

  2. Click the Add New button at the top, right side of the screen

  3. Input a Name for your template. This will only live in Sisu and will not appear in sent emails.

  4. In the Template Content you have the ability to style the text in your email with the following formatting options:

    • create headings

    • bold

    • italicize

    • underline

    • change text color

    • highlight text

    • create numbered lists

    • create bulleted lists

    • change text alignment

    • create hyperlinks that send users to a webpage of your choice

    • remove all styling from a selected group of text

  5. The Add Field dropdown allows you to insert Merge Fields. Merge Fields pull data from your transaction form(s) directly into your emails to make the email content custom and personalized.
    β€‹πŸ”Έ Example: If you insert the {{closed_dt}} merge field, the email recipient(s) will see the actual date input into the Closed Settlement Date field in place of the merge field.

  6. Click Create!


Creating Task Notifications

1. Navigate to Admin > Tasks > Edit Tasks

2. Click the Add Task button at the top of the screen

3. Choose a Task Type.

  • Task: Tasks are to-dos that need to be completed.

  • Notification: Notifications are emails that are sent from Sisu.

4. Select who the Task will Auto Assign To when applied to a transaction.
β€‹πŸ”Έ Note: The user selected here will be the sender of the Notification.

5. Select your created Notification Template. If a template is not selected an email will still send, however the body of the email will only contain the following:

  • Task Name

  • Transaction Address
    ​

6. The Subject Line will be the subject line of the email when sent.

Adding Merge Fields to the Subject Line.

❓What is a merge field? A merge field can be used to auto-populate data entered into the associated form field.

πŸ”Έ Example: If you want to insert your client's first name into the greeting of your email you can use the {{first_name}} merge field. This will pull the client name in from the First Name form field.

Here's how to add them into your Task Notification subject lines:

  1. Click Add Task to add a new Task Notification

    1. In the Task Type field select Notification

    2. In the Subject Line field start typing in a field name to search and insert a merge field

  2. Click the pencil icon to edit an existing Task Notification

7. Select your Recipients - this can include any users on your team, the client(s), your vendors and even cooperating team members!

8. Fill out the Task Name. This will appear in sent emails if a template is not selected.

9. Enter a Description (not required). This will only live in Sisu and will not appear in sent emails.
​

10. Select a Date Type - Will this Task Notification need to generate a due date based on a transaction date? The due date is the date the Notification will be automatically sent.

11. Select who this Task Applies To - Buyer, Seller or All.
β€‹πŸ”Έ Note: If you select Seller and the Task List is applied to a Buyer transaction this Task will not be applied.
​

12. You can select Task Lists to Add When Completed.
β€‹πŸ”Έ Example: If you create a Task Notification for 'Schedule Open House' once that Task Notification is sent it could auto trigger an 'Open House' Task List to be applied to the transaction.
​

13. Add To Task List - only existing Task Lists will appear here. If you need to create a new Task List you can skip this field and continue with creating the Task Notification, which can be added to a Task List later on.

14. If you select an Autocomplete Document Type, when a document is uploaded to the transaction and the corresponding type is chosen the Task will automatically be marked as Complete.
β€‹πŸ”Έ Example: You created a Task titled 'Upload HOA Disclosure' and selected the Autocomplete Document Type as 'HOA Disclosure'. When a document is uploaded and the document type is selected as HOA Disclosure the Task will be marked as Complete.

15. Adhere to Business Hours - you can check this box if you want Task Notifications sent only during your specified hours. Check out this article for more information on setting up your business hours.

16. The Click to Send / Auto-send toggle allows you to decide if a Task Notification should be automatically sent by the system or if it should only be sent manually by a user on your team.

  • Click to send: This selection will disable the Notification from automatically sending and the Notification will only send when manually pushed by a user.

  • Auto-send: The default selection on any existing Task Notifications. Also the default selection when creating a new Task Notification.

17. Click Add Task. Your new Task Notification appears in the list!
