Viewing Sent Notifications, Forms & Documents

This article explains how Admin/TC users can review all sent emails, including Task Notifications, shared forms and emailed documents, using the Sent Log and Sent Emails pages.

You’ll also learn how to use filters, search tools, and sorting features to quickly find the emails you need, as well as how to view or resend emails when necessary.

Sent Log

View all Task Notifications sent from your team's transactions by navigating to Task Manager > Sent Log. This page provides visibility into when Task Notifications were sent, who received them, and how they were delivered.

ℹ️ Please note: The Sent Log displays only sent Task Notifications. Shared forms and documents are not included. These can be viewed in Sent Emails.

→ Features & Filters

There are several filtering options available at the top of the report allowing you to view the exact data you're looking for.

  • Predefined Date Ranges: Quickly view date ranges such as Last Month, This Year, Q4, etc. with just one click.

  • Custom Date Range: This report uses “Monthly” data so the date range options have been restricted to include whole month increments.

  • Assigned to Agent: Select to filter the report by the user assigned to the Task Notification that was sent.

  • Scope: Select to filter sent emails by the Agent assigned to the transaction(s) the Task Notification(s) was sent for.

Several features are also available that provide functionality on this page:

  • Search bar: Quickly locate sent Task Notifications by entering the Task name, Client name or Transaction Address into the search bar located in the upper right corner of the page.

  • Resend: The Resend button to the right of a Task Notification allows you to resend with just one click.

  • Bulk Resend: Check boxes on the left of each Task Notification you'd like to resend, then select the Bulk Resend button at the top to send in bulk.

→ Column Descriptions

Below is a breakdown of each column in the Sent Log:

  • Task ID – The unique ID associated with the Task Notification.

  • Name – The name of the Task Notification that was sent.

  • Description – The description of the Task Notification that was sent.

  • Transaction Name – The client name associated with the transaction from which the Task Notification was sent.

  • Transaction Type – Indicates whether the transaction is a Buyer or Seller transaction.

  • Transaction Address – The property address associated with the transaction.

  • Auto-Send – Displays True if the Task Notification was sent automatically by an auto-trigger, or False if it was sent manually.

  • Due – The date the Task Notification was scheduled to send.

  • Custom Template – Displays Yes if the template was modified before sending, or No if no changes were made.

  • Recipient(s) – The recipient(s) the Task Notification was sent to.

  • From Email Address – The email address the Task Notification was sent from.


Sent Emails

Admin & TC users are able to view an entire list of sent emails, including Task Notifications, shared forms and emailed documents, by navigating to Admin > Tasks > Task Settings > Sent Emails

  • Search bar: Quickly locate sent emails by entering the Task name, Client name or Transaction Address into the search bar located in the upper right corner of the page.

  • View Email: The View Email button to the right of a Task Notification allows you to view a copy of the email that was sent.

Below is a breakdown of each column in the Sent Emails:

  • Transaction ID: The ID of the transaction the email was sent from.

  • Template Name: The name of the Notification Template used for the sent email.

  • From: The sender of the email.

  • To: The recipient(s) of the email.

  • Body: The content of the email.

  • Status: Displays S if the email was successfully sent, or F if sending failed.

  • Date Created: The date the email was sent.

  • View Email: Click to view the full content of the sent email.

💡 Tip: Columns can be sorted by clicking the column headers.
