If desired, Admin and TC users can make a field View Only. This means the field and the data in the field can be seen by all users but the data can only be edited by Admins and TC users.
View-only fields are helpful in all kinds of situations; here's a of couple scenarios where they could be useful:
Integrations with other systems: If you're syncing data from your CRM or other systems you may want to restrict the modification of key status and date movements while allowing the team to still view that data.
βLead sources: If you want to ensure transaction lead sources are accurate you can make lead source fields view-only on forms that Agents and ISAs use.
Making Form Fields Required Or View Only
Required fields prevent all users from creating or updating a form unless they input data in those fields, ensuring that essential information is always provided. Additionally, data in View Only fields can only be edited by Admin and TC users, maintaining data integrity and control.
Navigate to Admin > Team Settings > Forms and Fields.
In-line with the Transaction Overview, click the icon to the right of the form and select Manage Fields.
In the Active Form Fields section on the right, check the box under the Required column to make a form field required.
Check the box under the View Only column to make a form field view only.
The form saves automatically after each change.
Agent/ISA Perspective: Creating Transactions with View-Only Fields
When Agent and/or ISA users are creating a new transaction via a form that includes View Only fields these fields will not appear on the form upon initial creation.
For example, we have made the Lead Source field a View Only field on the Transaction Overview form:
When the Agent or ISA user is initially entering data into the form the Lead Source field is visible however they cannot enter or select data. The field will appear as grayed out:
Agent/ISA Perspective: Viewing Transactions with View-Only Fields
When an Agent or ISA user is viewing or editing a transaction form that includes View Only fields these fields will appear as grayed out. The user will not be able to enter, select or edit data in these fields.
Shown below is an example of a form that includes two View Only fields: Transaction Type and Lead Source.
